From Byte Digital, the official company wiki and knowledge base

Byte Digital publishes company policies on its main website covering commercial arrangements, privacy, ethical conduct and working practices. These commitments support clear communication, responsible delivery and trusted working relationships.

Ethics and professional conduct

The Code of Ethics sets out commitments to honest communication, responsible handling of information, fair competition, respect for intellectual property, disclosure of conflicts of interest and inclusive advertising. It also describes reporting concerns and reviewing the code.

For marketing work, these principles support accurate claims, appropriate permissions for creative material and clear discussion of potential conflicts. They inform the brief, approvals and delivery alongside the client's own requirements.

Equality and working practices

The Equal Opportunities Policy describes merit-based decisions, respect for colleagues and other people dealing with the business, and procedures for raising discrimination concerns. It applies across staff, contractors and other working relationships.

The Working from Home Policy addresses suitability, communication, equipment, confidentiality and safe working arrangements. The Flexible Working Policy sets out how requests to change working arrangements are handled, including eligibility, consultation, decisions and appeals.

Privacy and information security

The Privacy Policy identifies Design Animal Limited as the website operator and describes information handling, cookies, enquiries and contact routes for privacy matters.

The Password Policy calls for strong, unique passwords and two-factor authentication on eligible accounts. The Communications and Use of Equipment Policy addresses business systems, authorised software, confidentiality and the handling of company resources.

Client information and business systems

Byte handles client information and customer databases through its business systems. Its information-handling policy keeps these records within those systems and restricts access to authorised people. Freelance and specialist delivery support uses non-sensitive briefs and public materials. Sensitive client information, personal customer information and databases remain within Byte's authorised client-data arrangements, with overseas staff access excluded.

Byte uses Google, Meta, Xero, Adobe and Microsoft. HMRC services are also used for tax administration. Information is shared according to the service and tools used for the work.

For customer-list matching through Google or Meta, supported customer identifiers are hashed. Software-provider processing follows the relevant product terms and data-protection arrangements. The Privacy Policy explains these distinctions and links to provider information.

Byte is developing its own CRM, with security and GDPR best practices at the centre of its design.

Sustainability

See Sustainability for Byte's approach to packaging and the environmental commitments displayed on its main website.

Commercial terms

The Terms of Service describe quoted scope, changes of brief, billing, client-supplied material, creative ownership, external support and cancellation. They state that additional services are quoted in advance and that the client is responsible for permissions for supplied material. They also provide for freelance or outsourced support under Byte's responsibility.

The proposal and terms establish the arrangement for each engagement. Working with Byte explains briefing, coordination and getting started.

Payment commitment

Byte’s website displays its Prompt Payment Code commitment, reflecting the importance of responsible supplier relationships. The footer links to information about the successor Fair Payment Code.

Internal procedures

Byte maintains an internal area for standard operating procedures. The working-method guide explains the public-facing approach to planning, delivery and improvement.
